Custom Modify Log - Find Mistakes and Detect Fraud in Transactions

Custom Modify Log Overview

To view the log details for any transaction, the user must be using the Custom Inquiry list functionality. For any Inquiry list select the button in the lower left hand corner of your Standard inquiry screen.Why does SapphireOne store a log of all changes to transactions? For example a change maybe have been completed to a transaction, and the user may want to be able to go and identify the change that was made. This could be for mistakes, as well as identifying if a particular user may have made some fraudulent changes to a particular transaction. This log file will keep a permanent record of all changes, including those made using the custom modify tool.

The user must add the Log item to the list of cells to display, so that the logged details will be included as seen below for the highlighted item, that had the Sapphire Custom Modify tool was used on it.

Sapphire Quick Report

You can also produce the log file as a Sapphire Quick Report identifying the original date, the date it was changed to and the user details of who made the changes. This will once again obviously apply to date in, date due, date it was changed to, external reference, what the external reference number was, and what it was changed to. Set up the quick Report with the details as required. For the report below we have included ID, Name and Log for the log details as stored by SapphireOne.

The log file will contain the date and time stamp of what the old date was and what the new date details or the due date, or simply a reference with a date and time stamp of the user.

To utilise the Custom Modify Log Tool

  1. Manually select any record or records that have had the Custom Modify tool used on them. 
  2. Select Show Subset from the Options menu on the main toolbar. 
  3. Once the transaction or Transactions are in the list on screen, select the Quick Report function which is on the Sapphire Tools drop down menu. 

The reason for the selection of Show Subset from the Options menu is because the Quick Report function will produce a report for all of the items currently in the list onscreen. If there are hundreds of items the subsequent Quick Report will be a number of pages long and identifying the actual transactions could be a time consuming exercise. 

If there is more than a single record, the user is advised to include an identifier of some type in the first column. In the screenshot above we suggest adding the Sequence Number to the columns of data.
