The strength of SapphireOne DMS is its integration across SapphireOne. The SapphireOne Document Management System includes a Paperclip function on all data entry and inquiry screens, enabling users to attach relevant documents or files to transactions and records. SapphireOne provides a dedicated page for managing documents related to a specific transaction or record, including version control of attached documents. That means all documents can sit where they belong.
A contract can be linked to the relevant client record. A supplier certificate can sit with the vendor record. A specification can be attached to an Inventory item. A project document can be connected to a Job Project. A supporting file can be retained with the relevant transaction. A centralised view of document activity
SapphireOne DMS supports both centralised document management and record-level document access. The Documents Inquiry in Workbook Mode provides a centralised repository of documents and files stored within the SapphireOne data file. The Knowledge Base states that revisions made within Documents Inquiry are automatically updated across all areas where the document is linked within SapphireOne, and modifications made through the Paperclip Document List window or Document page are reflected within Documents Inquiry. This supports a more consistent document management model.

Link documents across SapphireOne
Documents are most valuable when they are connected to the right operational context. The Links area in SapphireOne DMS is used to connect documents to specific areas or transactions within SapphireOne. It can also be used to view linking information related to a document. The Knowledge Base notes that users can add as many document links to as many SapphireOne functions as needed, and that linkages can also be deleted in this area.
This gives your organisation flexibility to manage documents across multiple relevant records. A single document may support more than one transaction, record or workflow. Document Manager for structured file visibility
SapphireOne Document Manager provides a graphical representation of links to documents or files in SapphireOne and their associated function. The Knowledge Base describes Document Manager as similar to file managers found on Macs and Windows PCs, while presenting links to documents or files and their related SapphireOne function.
This gives users a structured way to view and manage document relationships. The Document Manager function can also be used to create subdirectories and link documents to specific records, such as vendors. Once linked, SapphireOne displays the linked document in the Documents Page for the relevant record.

Version control and document history
Accurate document control depends on knowing what changed, when it changed, and which version is current. SapphireOne DMS includes version history functionality that allows users to maintain records of different versions of the same document. When a new version is imported, SapphireOne records previous versions and makes them accessible within the History area of the Document Inquiry.
The History area is automatically updated when new document versions are imported, helping users access the most recently updated version while retaining a complete record of the document’s history. This is essential for organisations that rely on controlled documents, such as contracts, specifications, instructions, approvals, work flows, certificates, policies, images, drawings, spreadsheets and operational records.
Accountability, notes and tracking
Document management is not only about storage. It is also about accountability. SapphireOne DMS includes a Notes Area where users can enter notes related to a document and add a time and date stamp using the green clock icon. The Notes area also maintains a user log when changes are made, such as when a document is renamed or new links are created. SapphireOne records the date, time and user responsible for the modification.
The Document Manager article also notes that the Last Modified section displays the date and time when a document was last modified and the user who made the changes, supporting accountability and tracking of document modifications. This helps your organisation maintain clearer oversight of document activity and supports a stronger governance framework.
Drag, drop, scan, update and retrieve
SapphireOne DMS is designed to make document capture and retrieval practical for everyday users. Users can add documents through drag and drop into the Documents Inquiry window. The Paperclip document screen also supports drag and drop for attaching documents, and the Plus button can be used to upload documents from a local computer.
SapphireOne DMS also includes document list options for opening, updating, scanning, saving, linking and deleting documents. The Scan option allows users to scan a document directly into the data file and link it to a transaction, subject to scanner access and appropriate scanner software. This gives your organisation multiple ways to capture and manage documents depending on the operational requirement.
Turn invoice PDFs into connected SapphireOne transactions
SapphireOne DMS is not limited to storing documents after the fact. When combined with SapphireOne PDF Capture, your organisation can turn native PDF invoices into connected transaction records inside SapphireOne.
PDF Capture uses mapping to read invoice data from native PDFs and process that information directly into SapphireOne, reducing the need for manual data entry. Once a vendor’s PDF layout has been mapped, SapphireOne can reuse that mapping for future invoices, helping streamline repetitive invoice processing and improve consistency.
After the transaction is created, SapphireOne attaches the captured PDF to the new Vendor Invoice (VI) or Order Client Invoice (OCI). This creates a complete operational record: the transaction data, the source PDF and the document history remain connected in SapphireOne.

In the Knowledge Base example, documents attached to an inventory item, such as installation instructions and a packing checklist, can remain available throughout a process from quote sales invoice (QCI) and order sales invoice (OCI) to completion.
