SapphireOne Management equips leaders with real-time analysis and audit-ready reporting to steer performance with confidence, centred on three core menus: Analysis, Management, and Audit.

In Analysis, quickly review monthly cash, client, and vendor movements using Months Activities, then drill into trends with Accounts Movements to analyse period changes and produce board-pack ready outputs.

Support compliance by generating an accrual-based GST Summary Accrual that recalculates on demand and supports CSV export for reconciliations and audit review.

Build tailored performance views with Show Reports by filtering dates or periods, department, and transaction type, then recalculating for presentation-ready print or export outputs.

In Management, standardise period-end routines (including options such as Period End for All Modules) to move transactions to history in a controlled, repeatable way once reports, audit checks, and backups are confirmed.

SapphireOne Management Analysis equips executives and finance teams with real-time management reporting, flexible analysis tools, and export-ready outputs to support confident decision-making. It brings key financial, operational, tax, and period review tools into the Management mode, helping your organisation monitor performance and maintain stronger control.

Review monthly movement using Months Activities, which provides a summarised view of transactions processed for the current month. It displays monthly movement for cash, clients, and vendors, and also provides month-to-date details for client and vendor balances, supporting fast period review and management oversight.

Track balance changes over time with Accounts Movements. This function displays up to six periods of the General Ledger, summarised into General Ledger class types, and shows changes that have occurred through each period. It also includes ratio calculations such as gross profit, net profit, asset turnover, and current ratio for higher-level performance analysis.

Export Accounts Movements results as a tab-delimited text file for use in board packs, management reporting, or further analysis. Teams can also print the report directly, select the period up to which the analysis should be conducted, and close the screen once review is complete.

Stay compliant with GST Summary Accrual, which displays GST accruals for the selected date range. Users can adjust the date range, recalculate the report, print the output, export the current on-screen values to CSV, or export a transaction breakdown to CSV for reconciliation and review.

Close routines that reduce risk

SapphireOne Management standardises period-end routines so your organisation can close on time with repeatable controls, audit-ready assurance, and consistent data integrity. It provides the governed workflows required to move transactions into history, advance periods, and prepare SapphireOne for the next reporting cycle.

Run Period End All when all transactions and data entry are up to date across the organisation. This closes the current period for all transactions, including clients, vendors, inventory, job projects, time sheets, General Ledger, assets, and Payroll/HR, ensuring organisational data is ready for the next period.

Use targeted period-end functions where separate closes are required. Period End Vendors performs period end for vendor activity, Period End Time Sheets performs period end for Job Project time sheets, and Period End Payroll/HR closes the current period for payroll and HR-related transactions before moving them into history.

Each period-end workflow follows the same controlled review pattern. Confirm the displayed Current PeriodPeriod Date Ending, and Current Date before proceeding. If any details are incorrect, quit the period-end procedure and investigate before continuing.

Before completing any period-end process, confirm that the required ReportsAudit Reports, and Backups checkboxes have been ticked. The Continue button only becomes active once these vital action checkboxes are selected, reinforcing a consistent checklist before transactions are moved into history.

Always create a backup before commencing any period-end function in a live environment. SapphireOne documentation also recommends ensuring adequate hard drive space and notes that, if a period-end procedure cannot complete due to insufficient space, the user may need to revert to the backup.

The result is a consistent, executive-grade close that helps protect data integrity across AccountsInventoryJob ProjectsAssets, and Payroll/HR, while preserving a defensible audit trail for management review and period-end assurance..

SapphireOne Management Audits provides executive-grade financial assurance with targeted audit tools across receivables, payables, and the General Ledger. It helps your organisation identify discrepancies, support compliance, and maintain financial integrity through structured audit outputs and reviewable exception reporting.

Run Receivables Transactions audit reports to support reconciliation of receivables control accounts. These reports can be produced from the Audits menu and are designed to assist with reviewing current posted transactions and identifying records that require audit attention.

Validate payables integrity with Payables Transactions audit reports using the same governed approach. This helps finance teams review vendor-related transaction activity, support liability reconciliation, and confirm that payables records are ready for close.

For ledger assurance, use General Ledger Transactions audits to verify financial records across selected accounts and periods. SapphireOne can launch the spreadsheet application and display audit results as a CSV file, allowing the output to be reviewed, saved, and escalated to SapphireOne Support where required.

When deeper reconciliation is required, run GL Audit and Tran Audit from Utilities using the Financials tab in Custom Functions. These audits help identify discrepancies in the General Ledger and transaction records, including transaction audit-line issues. If SapphireOne displays an alert offering to fix transaction audit errors automatically, confirm with SapphireOne Support before proceeding.

Where corrective work is indicated, proceed only under controlled conditions and with the appropriate internal approval. Use supporting tools such as General Ledger Audit ToolGLbalupdate, and allocation rebuild routines only where they are appropriate and, where required, under SapphireOne Support guidance to protect data integrity.

Together, these audit capabilities create a defensible audit trail, reduce reconciliation risk, and support a faster, cleaner period end across your organisation.
