Logging in to SapphireOne

First Time Operation

The guidance to follow explains how to log in to SapphireOne on any version, starting from the first launch after starting or restarting the server. It also covers user authentication steps and the login screens you may encounter.

• Ensure that the data file to be selected is correct before proceeding.
• Usernames must match existing records within the selected data file.
• If the login screen deletes the name upon removing focus, verify that the correct data file and user credentials are being used.
• SapphireOne does not include a forgotten password feature. Each user must know their assigned credentials to access the application.

1. Launch the application by double clicking the application file or shortcut. When opening SapphireOne after starting the server and selecting a data file, Permission requests such as the following will appear and should be allowed.

2. Once the permission requests have been allowed the following prompt will appear. Select open and locate and select your data file.

3. When prompted, select Create to generate a log file. Save this file to a suitable location.

4. After clicking Save, SapphireOne will request that a backup be performed. If a backup of the data file does not yet exist, select OK and save to a suitable location. Alternately select Cancel to skip this step.

5. Once the backup prompt is dismissed, the Login screen will appear. Select Agree.

6. Type the username for the user account you want to access. When the username is recognised, SapphireOne will display the user’s full name below the Username field. For example, typing “johns” will show “John Smith”. Once the username is accepted, enter the password.

7. If two‑factor authentication (2FA) is enabled, enter the 2FA code, which, depending on your administration settings, will be emailed to you and/or generated by any commonly available authenticator app.

Ongoing Operation of SapphireOne

The procedure below is consistent across all SapphireOne versions for regular operation.

1. Launch the application by double clicking the application file or shortcut. Select Agree.

2. Type the username for the user account you want to access. When the username is recognised, SapphireOne will display the user’s full name below the Username field. For example, typing “johns” will show “John Smith”. Once the username is accepted, enter the password.

3. If two‑factor authentication (2FA) is enabled, enter the 2FA code, which, depending on your administration settings, will be emailed to you and/or generated by any commonly available authenticator app.
