Point of Sale

SapphireOne Point of Sale (POS) delivers a powerful and fully integrated retail solution designed for businesses operating across multiple stores, tills, and devices. Built for both macOS and Windows environments, SapphireOne POS operates seamlessly within the core SapphireOne application and is also accessible via the WebPack interface, enabling flexible use across the retail floor and back office.

Because the POS module is natively integrated with SapphireOne, there is no separation between retail activity and financial data. Accounts Receivable, Accounts Payable, Inventory, Purchasing, Distribution, CRM, Payroll, and Assets all operate from the same data set. This eliminates duplicate data entry, prevents data corruption, and ensures that transactions are reflected in real time across the entire organisation.

A Unified Retail and Back-Office Experience

SapphireOne POS supports multi-store and multi-till environments, allowing managers and back-office staff to view live transaction data, staff activity, and store performance at any time. Retail staff can process sales, returns, lay-bys, and orders through an intuitive POS interface, while managers can reconcile end-of-day transactions, verify till floats, and post results directly back to the General Ledger.

Using WebPack, POS transactions can be entered from anywhere on the retail floor via iPad or Android tablet devices, giving staff mobility without sacrificing control or data integrity.

Flexible Pricing, Inventory, and Promotions

SapphireOne POS supports advanced pricing structures, including multiple price levels and customer-specific pricing through its integrated Pricebook functionality. Sale pricing, loyalty pricing, and promotional adjustments can be applied quickly and consistently across stores.

When combined with SapphireOne’s CRM and PagePro capabilities, businesses can create targeted sales and marketing campaigns, whether aimed at specific customer groups or the entire client database. These campaigns are driven by real transactional and customer data, not disconnected systems.

Inventory control is further strengthened through SapphireOne’s Open to Buy budgeting functionality, giving buyers and store owners clear visibility over stock commitments and ensuring inventory levels remain aligned with sales performance.

Point of Sale Interface

The POS interface is the central workspace for retail staff, designed for speed, accuracy, and ease of use. Transactions can be entered via barcode scanning or manual search, with fast access to item pricing and stock availability across multiple locations. Visual item references, including images and matrix-based selection for style, colour, and size, assist staff with quick and accurate processing.

The interface supports mixed payment types within a single transaction, customer creation on the fly, queued transactions for faster service, and staff notes on inventory items to support product knowledge and ordering processes. The POS layout itself can be customised using colours and visual elements to suit individual store requirements.

Inquiry, Reconciliation, and Control

SapphireOne provides comprehensive inquiry screens that allow both retail and back-office staff to review POS transactions in detail. Using SapphireOne’s powerful query tools, transactions can be searched, analysed, and audited across a wide range of fields. Access controls ensure that only authorised users can modify posted data, preserving audit integrity.

Shop Inquiry allows businesses to configure store locations, tills, inventory allocations, banking accounts, and merchant facilities. Where SapphireOne’s integrated softphone is in use, staff can initiate calls to store locations directly from within the application.

End-of-day POS reconciliation enables accurate recording of tallies and variances for banking and reporting purposes. Once transactions are posted, they are locked from further modification, ensuring a clear audit trail. Posting can be completed immediately or queued to run in the background, allowing staff to continue working uninterrupted.

Reporting and Visibility

SapphireOne POS includes dashboards and reporting tools that provide real-time insight into sales performance, staff activity, and store operations. Reports can be presented in column-based or graphical formats and customised to suit specific business requirements, supporting both operational decision-making and strategic analysis.

A Retail Solution That Scales With Your Business

SapphireOne Point of Sale is not a standalone retail tool—it is a fully integrated component of a broader ERP, CRM, and Business Accounting platform. This integration ensures that retail activity feeds directly into financials, inventory, payroll, and reporting without delay or duplication.

For organisations seeking a scalable, enterprise-grade POS solution that delivers real-time visibility and control across retail and head office operations, SapphireOne provides a single, unified system designed to grow with your business.
