Documents Overview
The Documents Inquiry function in SapphireOne Workbook Mode allows users to efficiently manage documents and files. Users can store these documents either within the SapphireOne data file or in a separate directory. This feature acts as a central repository, enabling users to add
, Modify
, View
or Delete
documents through the Documents Inquiry window.
SapphireOne Document Management System (DMS) supports storing various file types without limitations on quantity or storage duration. Supported file types include Adobe Acrobat, spreadsheets, word processor documents, photo files, JPEG, CSV, HEIF, and MP4 files.
When accessing the Documents Inquiry window, users will see a display of all documents stored within the SapphireOne data file, except those marked as private, which remain hidden from view.
Users can configure storage settings within SapphireOne Master Defaults. These settings allow for restricting the size of individual documents and choosing the storage location—either within the data file or in a separate folder. To modify these options, navigate to Utilities > Controls > Master Defaults > System Page. In the Documents section on the right-hand side of the SapphireOne Page, users can set the ‘Document Size Limit’ (default is 10 MB). Additionally, users can choose between ‘Store with Data File’ and ‘Store as Files’ using the available radio buttons.


How to Add Documents to SapphireOne DMS
SapphireOne’s Drag & Drop functionality enables users to insert any type of document or file into SapphireOne by simply dragging the selected file from the desktop into the Documents Inquiry window in SapphireOne. If SapphireOne detects that the document name already exists, a pop-up will be displayed alerting the user.
Alternatively, users can select the New
icon in the main toolbar to add a new document, and Modify
to edit an existing document. The Look
an be used to view a document without making any modifications. Documents may be deleted by selecting the Delete
icon. To select multiple documents in the list, users can use the Control or Shift keys to choose more than one document.
When opening an existing document or creating a new Document Inquiry, users are presented with a window containing all the document information.

Documents Area
- Full Name – This field displays the full name of the document.
- Short Name – This field shows the shortened name of the document, which is the name displayed in the Document Inquiry list window.
- Imported – This field automatically logs the date and time the document was imported, as well as the user who performed the action.
Notes Area
The Notes Area is designated for entering any notes related to the document. The user can select the green clock icon
to create a time and date stamp for each note added.
Additionally, the Notes area automatically maintains a user log whenever changes are made to the document. For instance, if the document is renamed or new links are created, SapphireOne records the date, time, and user responsible for the modifications..
Details Area
- Version – The Version functionality allows users to maintain records of different versions of the same document. In the Version field, users can input the current version number of the document. To update the document’s version, select the ‘Update Version’ button in the lower right-hand corner and choose the new version to import. After selecting the file, the user will be prompted to enter a new version number. The new version will now be the available document, and all previous versions will be recorded and accessible within the History area of the Document Inquiry.
- Type – This field displays the type of the document. For example, Adobe Acrobat, spreadsheet documents, word processor documents, photo files, JPEG, CSV, HEIF, and MP4 files.
History Area
The History area is automatically updated when new versions of the document are imported using the Update Version button. As new document versions are imported, all previous versions will be recorded and available for viewing within the History area. This feature allows users to access the most recently updated version of the document while still maintaining a complete record of the document’s history.
Links Area
It should be noted that any documents added using the Documents function will not automatically have links to any other functions in SapphireOne. Users will need to manually create the required links within this area.
The Links area is used to connect documents to specific areas or transactions within SapphireOne. It can also be utilised to view all linking information related to the document. For example, if the document was imported using a function within SapphireOne, the links area will automatically display a line containing this linking information.
To add additional links, select the Add
, and the Files pop-up window will be displayed. From the File dropdown menu, choose what you want to link this document to. Then, within the Value data entry field, enter the details (ID). Since this data entry field has a blue background, it is user-searchable by entering the wildcard ‘?’ or ‘@’ symbols.
For linking simple items, such as connecting a document to a Client or Vendor file, users can use the Document Inquiries Links area to set up the link. For linking to transactions, more care will need to be taken as there will be a large number of transactions to choose from within the data file. In this case, SapphireOne recommends opening the transaction itself, navigating to the Documents Page by selecting the Paper Clip, ![]()
, and then selecting the Link Existing Document
icon to choose and link the required document.
Users have the ability to add as many document links to as many SapphireOne functions as needed. Linkages can also be deleted in this area by using the Delete
icon.

- Update Version Button – By highlighting a document and selecting the ‘Update Version’ button, SapphireOne will prompt the user with a find window to import a new version of the document. The user will be asked to provide the version number for the new document. SapphireOne will then delete the old document and replace it with the updated version. As noted before, prior document versions are recorded and accessible in the Document Inquiry’s History area.
- Open Button – Clicking on the Open Button will open the most recent version of the document.
Actions Page
Action Page Overview
The Action Page in SapphireOne serves as access to a comprehensive hub for managing and organising tasks, meetings, and notes, seamlessly integrating actionable items with relevant records and transactions. By providing access to a wide array of features such as Calendar Reminders, Meeting Invites, Alarms, Emails, To-Do Lists, and various types of Notes, the Action Page ensures that users can efficiently coordinate their activities within a centralised platform.
One of the key advantages of the Action Page is its ability to link actions directly to specific records or transactions, enhancing the accessibility and relevance of alerts throughout SapphireOne. This integration allows users to set up actionable alerts that are contextually tied to their organisational data, ensuring that important tasks and notifications are not only visible but also directly connected to the pertinent information. By leveraging these capabilities, users can improve their productivity and maintain a well-organised workflow, all within the intuitive environment of SapphireOne.


The Action Page enables users to manage actions by using the add
or delete
buttons. To add or delete an action, simply click the corresponding button.
Diary Area
The Diary Area in SapphireOne provides users with a comprehensive range of options to customise their actions. It includes the following functionality:
- Sequence – SapphireOne automatically generates a unique sequence number for each action.
- Title – Enter a title for the action.
- Type – Choose from the customisable drop-down menu to input a type. This will subsequently become a permanent type within the drop-down.
- Action – Utilise the user-customisable drop-down menu to input an Action. This will then become a permanent action within the drop-down.
- User – SapphireOne automatically inputs the user creating this action, though it can be modified if necessary.
- Private – If this checkbox is selected, SapphireOne will only permit the specified user to view or modify this action.
- Status – The user has three options: Open, Hold, and Completed.
- Open – Action is open and active.
- Hold – Action is active, but no alarms will be active.
- Completed – Action is now Inactive and won’t be displayed in any list of actions.
- Tag – Choose from the customisable drop-down menu to input a type. This will subsequently become a permanent type within the drop-down.
- Link – When created within a transaction or record, SapphireOne automatically generates a link to the transaction or record. When created from the Options Menu, Palette, or Workbook, users must select an item or function from the drop-down menu to link the action. There are 12 items on this list, ranging from Clients to Manager.
Check List Area
SapphireOne offers a user-friendly checklist tool to create and track actions, allowing users to check off completed items as they progress.
Dates and Times Area
- Start/Finish – Set a Start and Finish time for the action, or select the checkbox for an all-day option.
- Completed – Entering a completion date for an action deactivates it, and it will no longer appear in the action lists.
Alarm Area
Ensure you never miss a task again by setting up alarms to send reminders to the designated email at specified dates and times. Users can also receive notifications through SapphireOne Workflow.
Recurring Area
If necessary, the alarm can be set to recur at specified intervals chosen from the Type drop-down menu which contains an exhaustive list of interval options. Additionally, the recurring period can be defined by date.
Notes Area
This area can be used to make permanent notes or reminders when dealing with contacts. When you click on the clock button, a timestamp will be created at the beginning of the notes section. [Command or Control] places it at the end, and you can input the note straight away. The functionality is as follows:
- Right-Click context menu – Users can also customise the font, style, size, colour, and background colour of the text in the Notes area by selecting the desired text and choosing the options available from the right-click context menu
- Green Clock Button – Include a date and time stamp.
- Font Size Buttons – Modify the font size.
- Expand
button – Maximise the notes screen for unobstructed editing. You can click the same expand
button again to minimise the notes.
Invite Attendees Area
In the event module, you can invite multiple attendees to your event and track their acceptance or rejection of the invitation. You can also send them email notifications if their email addresses are provided. Additionally, you can manage and track attendees RSVP status in real-time.
