Leave Request - Take Control of Leave Requests with SapphireOne

Leave Request Overview

Leave laws in different tax jurisdictions will vary. The concept of Leave is either Paid Leave or Unpaid Leave. This facilities the Employee to electronically preform a Leave Request. In turn, this will be linked to SapphireOne workflow, which will notify, in a series of unlimited stages, and within each stage various levels of team members. In some tax jurisdictions prolonged leave may be authorised as unpaid leave. The sole purpose of a Leave Request is for the employee to be able to manage and verify Leave, ensuring at all times your organisation will be aware of upcoming leave, which will be automatically identified within your SapphireOne calendar, allowing complete transparency and corporation between employers and employees.

In the case and employee has not been able to enter a leave request as a pre-approval and has not been able to attend the place of work because of illness, or possible accident, domestic violence and community service. is unable to attend work. The employer on the day or subsequently is able to enter the leave request documenting that the employee was unable to attend the workplace, and can also commence a workflow, which will request the appropriate medical certificate or authorisation for the paid leave.

In the vast majority of work places, the workplace will be governed by an employee agreement/contract, a workplace agreement, a statuary award or a registered workplace agreement. These, in turn, will be governed by the state or federal employment government laws. Where the employee has a contract or workplace agreement with the employer, this will document the remuneration level for unpaid leave. For example Care and Personal Leave maybe paid at 100% at a maximum of 10 days per annum or Domestic Violence Leave in some tax jurisdictions will also be paid at 100&% but curtailed to a number of days per annum.

In Christian-Judeo countries, for example, the holidays of Easter, Christmas, Hanukah, Rosh Hashanah. In Islamic countries where are two official holidays of Eid Al-Fitr and Eid Al-Adha. The former is celebrated at the end of the month of Ramadan, whereas Eid Al-Adha lands on the 10th day of Dhu al-Hijjah, which is the final month of the Islamic calendar. In countries where Hinduism is the predominant religion they will celebrate Diwali and their various religious days.

Typically workplace leave, for example, holiday leave will not be granted until it has accumulated. Accumulation will be set out in the workplace agreement or by the award, which is governed by the appropriate authority after the employee has accumulated an appropriate amount of leave. The leave request will be subsequently approved within SapphireOne and the employee will be able to make their leave request and that will be approved. For example, the employee may accrue 20 days annual leave and after the first year of employment, an employee may request 20 days annual leave or part there of. International law also defines paid leave within the definition of labour laws observed by international organisations and others.

The Sapphire Web Pack Leave Request enables the user to enter an authorised leave of absence for each employee in line with their contract of employment, and records the compensation required for the day/s of leave requested.

A Leave Request can be entered by either the employee or employer for a multitude of reasons, and depending on the employee’s specific contract of employment or workplace agreement, they’re entitlement to Leave, or paid leave is varied. There are different types of Leave with numerous categories a Leave Request can fall under. For example, types of leave include Annual Leave, Carer and Personal leave, Holiday Leave, Long Service Leave, Maternity and Parental leave, Rostered Day Off (RDO), Day In-lieu, Compassionate and Bereavement Leave, Family and Domestic Violence Leave, Community Service Leave and Public Holiday.

Leave Request is contained within the Data Entry mode of Sapphire Web Pack.

Leave Request is entered with the Sapphire Web Pack. Once the Leave Request function has been selected SapphireOne will display the leave request screen with a list of users displayed asking for the user to Choose an Employee.

Once the employee has been selected the Sapphire Web Pack will display the Leave Request screen as seen below. Historical leave taken is displayed in the lower part of the screen.

Dictation and Speech to Text Overview

SapphireOne’s implementation of both Dictation (MacOS) and Speech to Text (Windows) is a game changer for data entry. Any data entry field you can type into using a keyboard can use this feature.

You can also use this functionality on all inquiry screens within SapphireOne. For example, the user is in a Contact within a Client. They may have made a phone call to that particular client using the Softphone technology. Consequently, this will automatically date and time stamp both the contact and the phone number you called.

As soon as the call is completed, the user has the ability to use Speech to Text (Windows) or Dictation (MacOS). They can dictate into the memo field of the CRM contact, adding as much description as they require.

Dictation and Speech to Text Procedure

This functionality applies across every single Data Entry screen. For example, the SapphireOne user is entering a Vendor Invoice (VI). Additionally, you may want to add a memo within the Vendor Invoice (VI). The user can utilise the tool and simply dictate the memo.

Another example is if the user wants to add additional lines to the General Ledger account, within each General Ledger account. When the user is completing data entry using a General Ledger, there’s always a unique memo field for each GL account line.

The user can then utilise this feature to quickly add the information they need to add. Alternatively, you may have an interview with an employee. After the interview process is completed, the user can then make notes about the employee.

Speech to Text or Dictation is an extremely powerful tool. It is something that we at SapphireOne, as well as our clients, utilise daily. It is a massive time saver.

Data Entry

  • Employee ID – Enter an ID for the employee. The employee ID supports alpha numeric.
  • Document – When the Document DocumentIconWebPack icon is selected SapphireOne will display the local machines search function allowing the user to attach a document to this quote if required.
  • Canceling – When the cancel icon is selected SapphireOne will close the Leave Request without saving it and without any alerts.
  • Saving – Select the save icon to save the leave request.
  • Dates – The From and To dates are inclusive using the Dates picking calendar.
  • Type – This is selected by using the drop-down menu which lists all types of leave for the employee.
  • Amount – Enter the quantity of leave in days or hours.
  • Reason – Enter the reason for this leave as required.
  • Future Leave – A date in the future is entered manually or by using the date picking calendar. The user then tabs forward, SapphireOne will re-calculate the leave owing as of the future data entered. This functionality means that users may use this function at any time to work out how much leave they will have, when they plan to take leave or go on a holiday at some time in the future.
  • Owed – This will give the employee the owed entitlement of annual leave based on the date they have entered in the future.
  • Pro – A total of the Pro Rata.
