Retrieve to Current Overview

For almost every mode the user will find that there is a History menu located towards the right hand end of the main tool bar. Once the End Of Month function has been executed, SapphireOne moves all transactions into history except those that are in the current month.

For Accounts, Inventory and Project modes, SapphireOne provides a Retrieve to Current functionality which will retrieve transaction/s from History. The main purpose of this would be to either do a re-allocation for the transaction/s or to reverse them.

For other modes the user will not have the option of Retrieving to Current, the Historical option is for viewing or reporting on the the records

The Screenshots below are from Accounts > History > Transactions Inquiry.
First make your selection for a single item or multiple items as required.

SapphireOne will then only retrieve the Currently Highlighted Records/Transactions. It is not necessary to use the (Command G) short cut to have onscreen only those records/transaction that are to be retrieved although the end result will be the same.

Once the Transactions have been selected, select the Retrieve To Current tool.

SapphireOne will then display the alert as seen to the left. Once Yes has been selected SapphireOne will perform an Inquiry so that only the selected items only will will be displayed in the list on screen. when the procedure has been completed.

Once the user has completed retrieving the transaction(s) from history SapphireOne will open the transaction(s) in a list from current table depending where you are. I.e. Accounts, Inventory or Job Projects mode. From there the user has the same options as when the transaction(s) is/are in the current period.

They could un-allocate and reallocate the transaction, or potentially the user may reverse the transaction. For example, the transaction may have been inadvertently entered and then for some reason you want to reverse it and use the Reverse Transaction tool.

Once the month-end is completed, this transaction will automatically be moved back into history again.
