The user should note that the Sapphire Tools menu from Query by Formula, through to Custom List Report has the same tools on it throughout SapphireOne when any list is being displayed. These are referred to as Common tools.
Apply Formula Overview
This Apply Formula tool is found on all tools menus in SapphireOne. It is used to batch modify fields within the entire global scope of SapphireOne utilising the application of a custom formula.
If this function is used incorrectly or without due care it is possible cause significant damage to your data file. It is therefore necessary to obtain an authorisation code to access the Apply Formula tool, which may only be given to you by SapphireOne. A backup of your data file will be necessary before running this tool to allow for he restoration of your data file in the event of unexpected results or potential corruption due to interruption while the function is running.
To use this tool.
- Select the rows within the transaction inquiry you intend to modify.
- Select the Apply Formula tool.
- Enter the authorisation code provided by SapphireOne.
- Select OK.
- Select the rows within the transaction inquiry you intend to modify.

- Enter the authorisation code provided by SapphireOne.
- Select OK.
When the correct activation code is entered into the request alert as seen above the apply formula screen will be displayed. This Apply Formula functionality allows the bulk updating of the selected records in SapphireOne.
