Transactions Report - Streamline Outstanding Transaction Tracking with SapphireOne

Transactions Report Overview

The Client Transactions Report gives you the ability to generate a list of all outstanding transactions via a variety of different criteria and fields contained within your SapphireOne Client data profiles. A large range of different report types necessary for business are available within the Transactions function that can be easily selected by the user to fit their needs.

Transactions Reports Options

When selecting the Transactions Report, you are presented with the above print dialog pop-up enabling the selection of items required in the report. The user can select from the Print Destination, Report Type and Report Sort Order drop-down menus to determine their preferred Transactions Report layout. Reports are created using a combination of the selected metrics. The user also has the option to create custom reports using SapphireOne Quick Reports or Custom Reports. 

Dictation and Speech to Text Overview

SapphireOne’s implementation of both Dictation (MacOS) and Speech to Text (Windows) is a game changer for data entry. Any data entry field you can type into using a keyboard can use this feature.

You can also use this functionality on all inquiry screens within SapphireOne. For example, the user is in a Contact within a Client. They may have made a phone call to that particular client using the Softphone technology. Consequently, this will automatically date and time stamp both the contact and the phone number you called.

As soon as the call is completed, the user has the ability to use Speech to Text (Windows) or Dictation (MacOS). They can dictate into the memo field of the CRM contact, adding as much description as they require.

Dictation and Speech to Text Procedure

This functionality applies across every single Data Entry screen. For example, the SapphireOne user is entering a Vendor Invoice (VI). Additionally, you may want to add a memo within the Vendor Invoice (VI). The user can utilise the tool and simply dictate the memo.

Another example is if the user wants to add additional lines to the General Ledger account, within each General Ledger account. When the user is completing data entry using a General Ledger, there’s always a unique memo field for each GL account line.

The user can then utilise this feature to quickly add the information they need to add. Alternatively, you may have an interview with an employee. After the interview process is completed, the user can then make notes about the employee.

Speech to Text or Dictation is an extremely powerful tool. It is something that we at SapphireOne, as well as our clients, utilise daily. It is a massive time saver.

Print Destination Menu

The Print Destination Menu allows the user to choose the destination for the Report, and select from the options which include Printer, Email, Custom Report, Quick Report and Labels.

It should be noted that the selection of printer or email changes the report type options available. We will start with the printer options first followed by the email options.

Printer  Tells SapphireOne to send the report straight to the Printer. 
Email This will result in SapphireOne emailing the Transaction Report to an entered email as a CSV file.
Custom Report  This allows the user to create a custom designed report. Once selected SapphireOne will use this option from the Print Destination menu automatically. 
Quick Report  Selecting this option will open the Sapphire Quick Report function. 

Report Type Print Menu

When Printer is selected from the Print Destination Menu, the Report Type Menu provides the capability to create eight distinct Transaction Report Types based on your particular reporting needs. These include:

Plain paper: This option generates a standard tax receipt for the Client.
Transaction Audit: This report provides detailed tracking information for the transaction, including its value. It also includes sub-lines that illustrate where the transaction has been allocated.
Discount Due:            This report offers information on discounts owed to the client for each transaction. It includes the number of days within which the discount is applicable, the percentage amount, and the corresponding dollar amount.
One Line FX: This report presents tracking details for foreign currency transactions and their values.
Audit FX: Similar to the One Line FX report, this report also includes tracking details for foreign currency transactions and their values. Additionally, it displays sub-lines indicating where the foreign currency transaction has been allocated.
One Line Transaction: This report provides tracking details for the transaction and its value.
Credit Memo: This option allows you to create a credit memo when needed.
Wide Transaction Audit: This is a landscape version of the Transaction Audit report mentioned above, providing a wider format for displaying transaction details.

Report Sort Order Menu

The Report Sort Order Menu offers users the flexibility to choose from various sorting methods and criteria for organising data into different sequences while preserving the fundamental report format. Users can sort data by:

No Sort: No sorting is performed, and the report is printed as it appears in the list on the screen.
By Account ID: Transactions are sorted and totaled based on each General Ledger Account ID.
By Type:            Transactions are sorted and arranged by their transaction type.
By Date In: Transactions are sorted and ordered by the Date In
By Date Due: Transactions are sorted and arranged based on their Date Due.
By Internal Ref: Transactions are sorted and ordered using the Internal Reference.
By Sequence N°: Transactions are sorted and ordered by their Sequence Number.
By Discount Expiry Date: Transactions are sorted and ordered by the Discount Expiry Date.
By Entered FX: Transactions are sorted and ordered based on the Entered FX.

Report Selection Area

The Report Selection Menu provides additional criteria for selecting reports:

Unposted only: This option generates a report exclusively based on unposted transactions.
Allocatable and less than 100% : This report includes transactions that can be allocated and have been allocated for less than 100 percent.
All Records: Selecting this option includes Client information from both active and inactive Clients in the report.

Data selection Area

The Data Selection Area empowers users to choose specific Client data to either include or exclude in the report.

Data Selection: This dropdown menu offers a range of options, starting from Sequence and extending to Levelink, enabling precise data selection.
Data Metric: In this dropdown menu, users can select the metric for including or excluding data. Options include Equals, Not Equal to, Less Than, Greater than”Between, Contains, and Does Not Contain.

Report Buttons Area

The Report Buttons area provides the user with following necessary functions for controlling the processing of the current report.

Print Button: Select this to Print the Report.
Cancel Button: Select this to Cancel the Report.
Record List Button: Selecting this button brings up a list of all inventory items within the users SapphireOne data file. The user can then use the 0 and Ctrl/F search function to search for the inventory item to be printed.
Options Button If active, not greyed out, the Options Button allows for even further customisation of the Report.
Queue Button: Selecting this button will put the report in a Queue, allowing the user to select the time and day for the report to run and print.
Background Button: Selecting this button allows the user to run the report in the background of the SapphireOne server, allowing the user to continue with other tasks while the report is generating.
