    Subscribe SapphireOne Contacts Directly to Mailchimp

    SapphireOne’s Mailchimp integration allows contact information to be exchanged automatically between both systems. You can subscribe your entire client database or individual contacts directly from SapphireOne into Mailchimp.

    Each SapphireOne Contact record includes an inbuilt Marketing feature with a Create Member in Mailchimp button. This allows you to add new or existing contacts to Mailchimp instantly, including all relevant captured details.

    You can also subscribe contacts to one or more targeted marketing lists, ensuring they receive only the communications relevant to them.

    Track Marketing Activity Inside SapphireOne

    Once a contact has been added to Mailchimp via SapphireOne, all related email marketing activity is automatically recorded within the Contact card.

    This includes:

    • Date and time an email was received
    • Date and time it was opened
    • Number of times it was viewed

    Having this visibility directly within SapphireOne gives you a complete picture of client engagement without needing to switch platforms.

    Maintain a Full Campaign History

    SapphireOne keeps a historical record of every Mailchimp campaign sent to each contact, along with their engagement history. This allows you to analyse responses over time and refine future marketing strategies.

    The three most recent campaigns are displayed directly within the Contact’s Marketing section for quick reference. Older campaign history can be accessed via the additional information panel next to the Create Member in Mailchimp button.

    Getting Started

    Setting up the integration is quick and straightforward.

    In Mailchimp

    1. Create a Mailchimp account or log in to your existing account
    2. Navigate to Account → Extras → API Keys
    3. Copy your Mailchimp API Key

    In SapphireOne (Windows OS)

    1. Open SapphireOne
    2. Go to Utilities Mode
    3. Select Controls → Master Defaults
    4. From the Page drop-down menu, select APIs
    5. Locate Mailchimp in the API Settings screen
    6. Paste the API Key
    7. Click the green tick to save

    In SapphireOne (macOS)

    1. Open SapphireOne
    2. Go to Utilities Mode
    3. Select Controls → Master Defaults from the top toolbar
    4. From the Page drop-down menu, select API
    5. Locate Mailchimp in the API Settings screen
    6. Paste the API Key
    7. Click the green tick to save

    Important Note

    Subscription management and permission rules are governed by Mailchimp. Please ensure all contacts have provided appropriate consent to receive digital communications before subscribing them to mailing lists.

    SapphireOne Warehouse API in Practice – Frutex Australia

    The implementation of the Warehouse API has delivered significant results for clients such as Frutex Australia, enabling deep integration between SapphireOne and custom web platforms.

    Harry Magiros explains that the Custom Web Pack, built on the Warehouse API, has been the single biggest driver of operational improvement in their business.

    Frutex has been running the Custom Web Pack for nearly ten years. The most significant impact has come from enabling sales representatives to place orders electronically via the web interface. This change fundamentally transformed order turnaround times and accuracy.

    Key outcomes include:

    • Sales reps moved from manual ordering to electronic order entry
    • Orders now enter the system with greater accuracy and richer data
    • Internal teams receive orders earlier, enabling faster picking and dispatch
    • Orders are processed and loaded onto trucks up to 24 hours earlier than before
    • The same staffing levels now process significantly higher order volumes

    Turnaround time improved from approximately 48 hours to under 24 hours, while responsibility for data accuracy shifted from internal data-entry staff to sales representatives.

    This same interface is now being extended directly to customers via a client web portal. Customers can enter their own orders using the same system, removing additional administrative workload and ensuring accuracy at the point of entry. Customers can also generate PDF or electronic copies of their orders for their own records.

    Warehouse Mapping, Inventory Accuracy, and Rolling Stocktakes

    One of the most impactful features for Frutex has been the inventory locator and warehouse mapping functionality.

    This provides:

    • Full visibility of stock locations across multiple warehouses
    • Accurate, system-maintained inventory location data
    • Real-time tracking of where stock is, where it has been, and where it is going

    Warehouse staff can enter a product code and instantly see a warehouse map with highlighted locations showing where that product is stored. This applies across seven warehouses operating on the same site.

    Because inventory locations are barcode-driven:

    • Products do not need to be stored in fixed bins or shelves
    • Bulk storage locations can change dynamically
    • As long as items are scanned in or out, the system always knows their location

    Picking areas remain consistent, while bulk storage flexes based on inbound and outbound stock. Staff can scan any location to confirm what is stored there or what should be stored there.

    This capability has made rolling stocktakes possible for the first time. For example, a single staff member can now verify stock spread across dozens of locations in a single day, something that previously relied on manual knowledge and annual stocktakes.

    The result is:

    • Accurate, real-time stock data
    • On-demand stock verification
    • Reduced reliance on memory or static location records

    Reporting and Management Insight

    The Warehouse API has also significantly improved management reporting.

    Frutex now has:

    • Real-time margin analysis by client, product, group, or location
    • Vendor stock usage reporting by month, quarter, and year
    • Visibility into seasonality and purchasing trends
    • Faster, more accurate management decision-making

    As Harry notes, the system works best when data is entered correctly and consistently. Compliance remains the main challenge, but when the data is in SapphireOne, it is immediately accessible, accurate, and actionable.

    Version 17 Beta Is Now Live at SapphireOne

    Security level of 4D Web server has been increased again with the support of HTTP Strict transport Security version 17

    We have deployed 17 beta on our live internal company datafile. We are very excited to announce that we are seeing some amazing performance improvements in the large process functions. When creating the BAS we are experiencing up to 12 times speed increase, processing Month End has shown up to 10 times increase in speed. These very large processes typically can be time consuming and we are very happy to report these huge time improvements, this will be a huge time saving improvement which will have a dramatic effect for all our clients.

    New Features in Version 17

    Version 17 has hundreds of new features with 64 Bit Mac and Windows forming the foundation. Some of the new features are:-

    • WritePro – 4D Write Pro keeps offering more and more programming capabilities! Let’s say you want to programmatically change the style of a table, paragraph, or image in an existing 4D Write Pro document. With 4D v17, it’s possible! Now you can access any element or part of a document, by programming. These parts, called elements, will be returned either as a collection thanks to the WP Get elements function, or as a single element with WP Get element by ID function.
    • GDPR – Taking effect on May 25, the General Data Protection Regulation (GDPR) imposes new privacy restrictions governing the collection and use of personal data of European Union (EU) citizens. And as a first step to help you get more insight into the GDPR law, we’re pleased to announce the first part of a GDPR dedicated guide: General Data Protection Regulation and 4D.
    • ORDA – Imagine a way of using your database with an object-oriented approach, without worrying about its physical structure. Imagine that you could maintain multiple current selections at the same time or that you could perform recursive queries in a single line of code. Well, this is now a reality thanks to ORDA. With 4D version 17, your code can be written in an object-oriented mode, and you can easily navigate through your entire data model.
