Custom Reporting in SapphireOne for Flexible Financial Insights

SapphireOne ERP software delivers reporting that is meaningful, actionable, and directly aligned to business decision-making. To operate with confidence—both day to day and strategically—you need the ability to respond quickly to challenges, analyse performance in real time, and draw insight from complete historical data.

SapphireOne provides this capability through a comprehensive reporting framework that combines standard reports, flexible report-building tools, and fully customisable reporting. Together, these features give businesses a real-time financial view across operations, while allowing reports to be shaped precisely to individual requirements.

    Powerful and Efficient Custom Reporting

SapphireOne includes a powerful financial reporting engine designed to support professional, repeatable reporting. Users can build high-quality reports using customisable templates developed to industry standards, then tailor both layout and content to suit specific business or client needs.

This approach allows organisations to create consistent report sets for regular use, while still supporting client-specific or scenario-based adjustments where required. The result is professional reporting that remains flexible without sacrificing accuracy or structure.

    Building Your Own Reports

SapphireOne stores detailed records across sales, purchases, customers, vendors, and financial transactions. This data can be leveraged not only for accounting and compliance, but also as part of broader CRM and operational analysis.

The reporting system can produce output from almost any field in any table within the data file. Users can drill down as deeply as required into financial and transactional data, enabling highly granular analysis. Alongside an extensive library of standard reports, SapphireOne allows users to build entirely new reports to meet unique reporting requirements.

Custom reports are available across multiple modes within the application, and additional reporting options become available when Sapphire Web Pack is used, extending reporting access to web-based environments.

    Multi-Company and Department-Level Reporting

SapphireOne supports flexible organisational structures, including department-based reporting and true multi-company reporting within a single data file. General ledger accounts are typically established at a company level, with optional departmental segmentation for more detailed analysis.

Where multiple companies are configured within the same data file, each entity can run independent reports while still benefiting from shared reporting tools and layouts. Custom Reports remain fully available across all modes, ensuring consistency regardless of organisational complexity.

    Setting Up Custom Reports

Custom reports can be created by modifying existing standard templates or by building new layouts from scratch. This applies across a wide range of functions, including sales, purchases, financial reporting, Profit & Loss statements, and balance sheets.

To modify existing custom report layouts, navigate to:
Utilities > Controls > Custom Report Layouts

Once created, a custom report can be assigned as the default for a specific function. For example, invoices can be configured to always print using a nominated custom template. This is managed via:
Utilities > Controls > Master Defaults, then selecting the relevant function (such as Invoices) from the page drop-down menu.

Printing Custom Reports for Sales Invoices

Custom reports can also be created directly from within transactional areas of the system. For example, when working in Sales Invoice Inquiry, users can access custom report creation via the Sapphire Tools menu.

From Inventory > Sales > Transactions, selecting an order and opening Sapphire Tools allows users to define and manage custom report templates specific to that function.

Once saved, these templates can be selected from the printer options whenever invoices are printed.

Alternatively, when opening an individual sales order, users can choose to print that transaction using a previously defined custom report template, ensuring consistent presentation without additional setup steps.

    Reporting with Confidence and Flexibility

Custom Reporting in SapphireOne gives businesses the ability to move beyond fixed, template-based reporting. By combining deep data access, flexible layouts, and multi-company support, SapphireOne enables reporting that adapts to how your business operates—not the other way around.
